Position Details
Professional, Full Time (Contract)
This position exists to provide support for the Student Services Department in managing the University’s processes & oversee the welfare of students awarded loans and scholarships. This position will oversee all loans and scholarship matters to ensure efficient management of processes and procedures and any other matters related to loans and scholarships. This includes developing and updating procedures, deadlines, scheduling, advertising available loans and scholarships, student academic records maintenance to sponsors, communication with internal/external customers, customer service and administrative support to the Student Services Manager.
This position is accountable for the development and efficient implementation of innovative solutions to support the Student Services Department’s strategic plan, particularly in the loans and scholarships area.
Key Responsibilities
- Administer scholarships, bursaries, education loans, and financial assistance programmes from application through to award and renewal.
- Assess applications against eligibility criteria and verify supporting documentation.
- Manage the end-to-end administration of the Free Tertiary Education Scheme (FTES).
- Verify student eligibility and supporting documents in accordance with FTES guidelines.
- Prepare scholarship and loan recommendations for approval in accordance with University policies and funder's requirements.
- Respond promptly to enquiries from students, parents, sponsors, and external stakeholders.
- Support students facing financial hardship by providing information on available financial assistance options.
- Assist students in completing applications and submitting the required documentation.
- Issue award letters and related documentation to successful applicants.
- Monitor scholarship acceptance and maintain accurate recipient records.
- Monitor scholars' enrolment and progress.
- Provide advice and guidance to prospective and current students regarding scholarships, loans, financial aid, and eligibility requirements.
- Coordinate with Admissions, Examinations, Finance, Academic Faculties, and external funding agencies to facilitate scholarship and loan administration.
- Provision of student results and progress to sponsors.
- Maintain positive relationships with government bodies, sponsors, and scholarship providers.
- Support special projects and initiatives undertaken by the University.
- Perform other duties as assigned by the Manager.
About you
To be successful in this role, you will have:
- At least three (3) years of working experience.
- Demonstrated ability to be receptive to, and anticipate the needs of students, staff and other internal and external clients and demonstrate flexibility in dealing with people who have competing demands.
- Demonstrated ability to relate effectively to clients and staff on matters of a sensitive and confidential nature.
- Pro-active, able to work effectively and independently with minimal supervision.
- Demonstrated ability to provide direction and support to a team.
- Demonstrated ability to complete a variety of activities to meet conflicting deadlines.
- Demonstrated organisational skills including the ability to prioritise workload.
- Demonstrated ability to interpret and apply relevant policies and procedures
- Accuracy and attention to details.
- Self-motivated with a proactive and innovative approach to problem solving.
- Competency in the use of computers.
Desirable
- Previous experience in a tertiary education administration environment.
- Knowledge and understanding of academic processes and welfare issues involved in dealing with university students.
