Professional, Full Time (Contract)
The position is responsible for managing all aspects of the student’s admissions process. The position will lead the Admissions team to ensure admissions compliance and that a high standard of customer service is provided at the same time.
The incumbent will be responsible for initiating and developing improvements to policies, procedures and business practices to ensure a high level of service and efficient practice to meet desired outcomes. A key element is a focus on continuous improvement, best practice and benchmarking.
The position also has responsibility for promoting and ensuring compliance with relevant Government legislation and University policies and procedures.
Key Responsibilities:
Manage all enquiries about applications via email, telephone or face-to-face at the counter.
Provide advice and recommendations to students and agents in relation to admission matters.
Ensure that quality service is provided to all customers by meeting the performance and quality standards that have been set for the Student Services Department.
Responsible for the assessment of applications that come through eApplications or email, or hardcopy.
Responsible for the relevant data entry required to make an offer.
Enter decisions on the applicants and generate offers using the University Student System with the aim of 100% accuracy.
Responsible for the data transfer from CS1 to Student One for admitted students.
Responsible for coordinating the assessment of non-standard applications by academic staff, when required.
Follow up with applicants on incomplete applications for documents, etc.
Responsible for ensuring that the correct procedures are followed when dealing with fraudulent applications, applicants with criminal convictions and underage applicants.
Responsible for liaising with the admissions areas at Bentley campus or the local faculties for Credit for Recognised Learning (CRL) assessment and updating clients on the outcome.
Responsible for keeping records of the outcomes of non-standard applications for future reference and quality assurance.
Responsible for updating Credit for Recognised Learning in CS1 and Student One.
The main focal person for Curtin Sarawak in relation to contact or liaising with the main enrolling or admission areas at Bentley campus for further Credit for Recognised Learning and assessment on a case-by-case basis.
Responsible for informing relevant parties in/or outside the Student Services area with respect to course availability and changes to courses offered.
Communicate regularly with both academic and administrative staff on Admissions matters.
Staff Management and Leadership
Provide leadership to staff within the Admissions Office.
Encourage and facilitate the professional development of staff
Represent the area in relation to matters relevant to the portfolio.
Promote effective work relationships across all sections of Student Services and the University.
Promote the image and professionalism of Student Services within the University and externally.
Prepare section work plans and deadlines/timelines, and communicate the work plans to staff.
Daily supervision of the staff in the Admissions Office and ensures that workloads and deadlines are met.
Mentor staff to improve their performance.
Evaluate the performance of the Admissions staff on a quarterly basis to ensure performance is consistent and of an acceptable standard.
Assess the admissions staff during the Performance Appraisals period and provide feedback to the staff and the Manager on the outcome.
Engage in training and knowledge-sharing exercises to improve personal capabilities and flexibility.
About you
To be successful in this role, you will have:
A university degree and relevant work experience.
Demonstrated experience and competence in the use of computers.
Demonstrated database management skills and the ability to accurately process high volumes of data.
Demonstrated ability to work independently and also with minimal supervision within a team environment.
Demonstrated time management and organisational skills, including the ability to meet deadlines.
Demonstrated effective interpersonal skills and initiative when dealing with difficult situations.
Demonstrated effective oral and written communication skills, in particular the ability to effectively and tactfully deal with clients, ensuring cross-cultural sensitivity.
Demonstrated commitment to applying relevant and applicable policies, procedures and legislation in the daily responsibilities of the position.
Desirable
Experience working within a tertiary education environment.
Experience with information systems such as student administration systems.
