Position Details
Professional, Full Time (Contract)
The Graduate School Officer will be responsible to ensure smooth administrative operations of the Office of Graduate School to comply with Higher Degree by Research (HDR) Polices, Procedures and Quality Assurance. This includes providing support to HDR students and supervisors for their project progression and ensuring effective lines of communication between CMGS and Curtin Australia Graduate Research School, HDR students and supervisors, and other internal and external parties. This position will report to the Dean of Curtin Malaysia Graduate School (CMGS) and is a full-time appointment.
Key Responsibilities:
- Manage the HDR information counter at the Office of Graduate School and assist with HDR-related inquiries.
- Respond promptly to queries from both internal and external stakeholders on HDR matters.
- Review HDR documentation to ensure compliance with quality assurance standards, policies, procedures, audits, and accreditation requirements.
- Maintain accurate and up-to-date records and databases on HDR student admission, progression, monitoring, and completion.
- Monitor HDR student attendance and coordinate with the International Student Office regarding visa renewal requirements.
- Responsible for the preparation of the HDR Board of Examiners reports.
- Liaise with Graduate Research School (GRS) counterparts at Curtin Australia on HDR policies, procedures, and implementation.
- Prepare regular reports for the Academic Board and other management meetings.
- Compile HDR student and supervisor profiles, as well as other HDR-related data, for MQA, MyRA, SETARA, and other accreditation or audit purposes.
- Serve as Secretary to the Curtin Malaysia Graduate Studies Committee (CMGSC) by preparing agendas, documentation, minutes, and assisting the Dean in following up on action items.
- Maintain records of non-laboratory assets and Graduate School facilities.
- Contribute to continuous quality improvement initiatives across the campus.
- Proactively identify and implement innovative solutions to improve departmental efficiency and effectiveness.
- Generate ideas to support the growth and development of HDR programs and the University as a whole.
- Undertake any other duties as assigned by the Dean of CMGS
About you
To be successful in this role, you will have:
- Minimum, a bachelor's degree from a recognised institution.
- At least 2 years of relevant working experience.
- Possessed highly developed interpersonal skills and conversant in spoken and written English.
- Demonstrating competence in the use of computers, especially Excel and Word Processing, Visio will be preferred.
- Demonstrating ability to establish and maintain a filing system and records.
- Demonstrating ability to comply with policies, follow procedure and provide factual advice to students and other stakeholders.
- Demonstrating ability to work effectively, both independently and in a team environment.
- Demonstrating the ability to produce clear and accurate written reports.
- Demonstrating ability to plan, organise and manage competing priorities to meet deadlines.
- Having a positive attitude and skills in providing high-quality customer service.
- Demonstrating the ability to learn new things and continuously develop his/her professional skills.
Desirable
Previous experience in a university environment.
