Position Details
Professional, Full Time (Contract)
The position will be responsible for accurate and timely processing and maintaining accounting records related to the Accounts Payable section, including but not limited to checking and recording payables, payments, and reconciliation of accounts and maintenance of accounting records.
Key Responsibilities:
- Receive and verify invoices from Receiving and post, matching them with Purchase Orders, Delivery/Receiving Notes, or alternative authorisation. Ensure proper receipt and approval signatures.
- Manage supplier returns, credit notes, and update the creditor ledger accurately.
- Apply general ledger codes to invoices and credit notes, obtain approval, and post to correct accounts and cost centres.
- Prepare payment vouchers and process payments (cheques, electronic transfers) for invoices, staff claims, student refunds, and other requests; ensure verification by Senior Accounts Officer before approval.
- Record payments in registers, maintain schedules, and ensure timely payments to avoid penalties.
- Monitor withholding tax payable and ensure timely payment.
- Maintain accurate and up-to-date records for invoices, payment vouchers, and accounts payable transactions.
- Reconcile supplier statements with the creditor ledger and resolve discrepancies promptly.
- Post journal vouchers as instructed by supervisors.
- Maintain petty cash, ensure policy-compliant disbursements, and prepare monthly reports for approval.
- Process expense claims and follow up on employee advances according to university guidelines.
- Assist in month-end closing, including reconciliations and monitoring accruals, prepayments, down payments, contractor retentions, and recharge accounts.
- Perform other duties as assigned in line with the role.
About you
To be successful in this role, you will have:
- A degree in Accountancy with knowledge of general accounting principles.
- Minimum two (2) years of relevant, professional work experience.
- Proficient or have experience working with accounting software and MS Office, especially Excel.
- Attention to detail, good time management and organisational skills to deliver high-quality work while meeting deadlines.
- Good problem-solving skills.
- Good communication skills in English, spoken and written.
