Position Details
Professional, Full Time (Contract)
This position is responsible for ensuring that enrolment processes, policies and procedures are managed efficiently and effectively. The position will lead the Enrolment team to ensure enrolment compliance and that a high standard of customer service is provided to the students at the same time.
The incumbent will be responsible for initiating and developing improvements to policies, procedures and business practices to ensure a high level of service and efficient practice to meet the desired outcomes. A key element is a focus on continuous improvement, best practice and benchmarking.
The position also has responsibility for promoting and ensuring compliance with relevant Government legislation and University policies and procedures.
Key Responsibilities:
Enrolment
- Manage all enquiries about enrolments via email, telephone or face to face at the counter.
- Provide advice and recommendations to students and staff in relation to enrolment matters.
- Ensure that quality service is provided to all customers by meeting the performance and quality standards that have been set for the Student Services Department.
- Responsible for data entry and accuracy of student enrolment into both Student One and CS1 with the aim of 100% accuracy.
- Responsible for Study Plan maintenance in both S1 and CS1.
- Responsible to update individual student’s study plan in student One and CS1 when there is changes in unit’s version and course structure.
- Responsible to compile Course Structures from the various faculties and upload them on Moodle for student’s references.
- Act as liaison between the Faculty and students regarding offered units and changes in Course Structure.
- Provide advice to students pertaining to enrolment/re-enrolment/amendments, withdrawals and leave of absences.
- Responsible to provide student details as required by the Academics, Head of Departments, Deans and other departments.
- Responsible to run Leave of Absence report in CS1 and follow up with the student on returning plans.
- Responsible to ensure all students meet the pre-requisite (Consequential Withdrawal Report) and notify the relevant faculty to ensure students who failed pre-requisite units are not enrolling in units with the failed pre-requisite unit.
- Responsible to provide enrolment list to Finance Services for invoicing purposes every semester/trimester/term.
- Responsible to prepare Withdrawal and Leave of Absence reports for the Manager.
- Responsible to generate list of AWOL students and update status in Student One and CS1 on a semester basis.
- Responsible to prepare and send communications to students regarding enrolment matters via email and OCC.
Staff Management and Leadership
- Provide leadership to staff within the Enrolments Office to achieve KPI and deadlines.
- Encourage and facilitate the professional development of staff through mentoring.
- Represent the area in relation to matters relevant to the portfolio.
- Promote effective work relationships across all sections of the Student Services and the University.
- Promote the image and professionalism of Student Services within the University and externally.
- Prepare section work plans and deadline/timeline and communicate the work plans to staff.
- Daily supervision of the staff in Enrolments Office and ensures that workloads and deadlines are achieved.
- Mentor staff to improve their performance.
- Evaluate the performance of the Enrolments staff on quarterly basis to ensure performance are consistent and of acceptable standard.
- Assess the admissions staff during the Performance Appraisals period and provide feedback to the staff and Manager on the outcome.
- Engage in training and knowledge-sharing exercises to improve personal capabilities and flexibilities.
Planning, Development, Strategies, Policies
- Initiate and contribute to the development of Standard Operating Procedures.
- Monitor and review policies and procedures on a regular basis and initiate improvements or variations to enable best practice to be achieved.
- Represent and promote the interests of the University in relationships with external agencies and other institutions.
- More generally, participate in business process improvement and policy and procedure review across all student administration matters as requested by the Manager of Student Services.
Other Duties
- Participate in committee and working parties (internal and external) on matters relevant to the portfolio or as required by the Manager.
- Maintain and update the relevant information, documents and website for the section.
- Act as back up for the Data Compliance Officer in his/her absence (annual or sick leave).
- Any other duties as assigned by the Supervisor or Manager within the parameter of the position.
